Description: 
|
The Vendor Coordinator is responsible for developing and maintaining a reliable network of qualified vendors and subcontractors to support commercial electrical service and project needs. This position will identify and onboard new vendors, negotiate competitive labor and service rates, maintain vendor agreements and records, and serve as a key point of contact between vendors and internal operations teams. The ideal candidate is a strong negotiator who understands the commercial electrical and construction environment and can balance cost, service, availability, and quality when selecting vendor partners. This role requires someone who is comfortable building relationships, negotiating pricing, solving vendor issues, and continuously expanding our vendor network to meet business and customer needs. | Regular Duties | - Identify, recruit, and develop relationships with qualified electrical contractors, service vendors, and subcontractors in existing and new markets.
- Negotiate competitive labor rates, service rates, trip charges, overtime rates, minimum charges, and other vendor pricing.
- Evaluate vendors based on pricing, capabilities, geographic coverage, availability, responsiveness, and service quality.
- Maintain vendor pricing, agreements, service capabilities, contact information, and required documentation.
- Coordinate the setup and onboarding of new vendors and ensure vendor information is complete and accurate.
- Serve as a primary point of contact for vendors and subcontractors regarding pricing, agreements, service capabilities, and general relationship management.
- Work closely with service, operations, project management, purchasing, and other internal teams to identify vendor needs and coverage gaps.
- Assist internal teams in locating qualified vendors for commercial electrical service calls and project needs.
- Negotiate improved pricing and terms when vendor rates do not align with customer or company requirements.
- Maintain strong vendor relationships while holding vendors accountable to agreed-upon pricing and expectations.
- Proactively identify opportunities to reduce vendor costs and improve overall vendor coverage and performance.

Additional Duties |
| - Research and source new vendors in markets where additional coverage or competition is needed.
- Support vendor contract, purchase order, and change-order processes as needed.
- Assist with resolving vendor pricing discrepancies, invoicing issues.
- Monitor vendor performance and identify vendors requiring additional follow-up or improvement.
- Maintain organized vendor files and supporting documentation.
- Assist with special sourcing or vendor-development projects.
- Support other purchasing, service, and operations initiatives as needed.
- Perform other duties as assigned.

| Minimum Qualifications |
| - High school diploma or equivalent.
- Experience in vendor relations, purchasing, procurement, subcontractor management, construction, or service operations.
- Strong negotiation skills with the ability to negotiate vendor labor rates, service pricing, and commercial terms.
- Working knowledge of commercial electrical services, materials, and terminology, with the ability to understand electrical scopes of work and communicate effectively with electrical contractors and service vendors.
- Ability to evaluate vendor quotes and determine whether pricing, scope, and terms are competitive and appropriate.
- Strong verbal and written communication skills with the ability to build effective vendor relationships.
- Strong organizational and time-management skills with the ability to manage multiple vendors, negotiations, and priorities simultaneously.
- Comfortable making outbound calls and developing relationships with new vendors and subcontractors.
- Proficiency with Microsoft Outlook, Excel, and Word and the ability to learn vendor-management, purchasing, or service-management systems.
- Strong attention to detail when maintaining vendor rates, agreements, documentation, and records.

| Preferred Qualifications |
| - 2+ years of experience in vendor management, procurement, purchasing, sourcing, subcontractor relations, or commercial construction.
- Previous experience working with a commercial electrical contractor, electrical service organization, facilities maintenance company, or multi-site service provider.
- Experience negotiating electrical contractor labor rates, hourly service rates, trip charges, emergency service rates, and related vendor terms.
- Familiarity with commercial electrical service terminology, including EMT, conduit, fittings, wire, breakers, panels, disconnects, lighting, and other common electrical components.
- Experience sourcing and qualifying electrical contractors or service providers across multiple geographic markets.
- Experience reviewing vendor quotes, scopes of work, purchase orders, contracts, and change orders.
- Experience identifying alternate vendors to increase competition, improve geographic coverage, and reduce reliance on a limited number of service providers.
- Experience working with commercial retail, restaurant, facilities maintenance, or other multi-location customers is a plus.

- Ability to occasionally lift, carry, push, or pull up to 30 pounds and, infrequently, up to 50 pounds with assistance.
- Ability to communicate effectively in person, by telephone, and in virtual meeting environments.
- Ability to use a computer, tablet, smartphone, and other office equipment for extended periods.
- Ability to respond to emergency service situations, critical customer needs, or extended work hours during peak periods when business demands require.
